Reporting to the board of directors the successful applicant will be responsible for Meetings (preparing agendas, taking minutes and maintaining governance records for the Board and Captains Committee - 2 evenings per month), providing management reports, organise, prepare and send out details of AGM/EGM to club members. Another key responsibility will be membership management which will involve seeking to maintain the club’s membership at the required level in order to meet the projected financial requirements, preparing reports on membership trends, marketing performance and acting as a key point of contact for members, visitors and external organisations.
Also key to this role is Marketing and promoting the club to prospective members, visitors and societies. Duties will include the development of membership recruitment campaigns and special offers, contacting and engaging with potential sponsors of club events, management of social media accounts for the club, website content and email campaigns and to co-ordinate some major events for the club such as Sponsor Days, Charity Days and Corporate Days).
This successful applicant will also be responsible for general duties such as procurement requirements which will assist the running of the club, manage bookings, tee-time administration including the daily supervision of the club’s tee booking system and club communications. The role will involve handling and sharing correspondence, emails and dealing with telephone enquiries. Ensuring compliance with club policies, regulations and governing body requirements is another key responsibility of this role. The position will involve liaising with with Greenkeeping Staff, Golf Professional and the Club’s Catering Partner.
Required skills and competencies for this role include a strong administrative ability, excellent communication and customer service skills as well as competence with office software (Microsoft Office) and membership management systems. Financial awareness is key as well as the ability to work independently and as part of a team. A flexible and proactive approach to work is required. Other desirable experience is a knowledge of golf club operations and competition management, marketing and social media skills, sponsorship and event planning and a familiarity with Sage Accounting system would also be advantageous. The successful applicant will be expected to work closely with the Club Secretary (Administration & Finance) as part of an effective team and develop awareness of the key elements of that role and provide task cover for any periods of absence (holidays and sickness) or peaks in demand. These key elements include membership management, invoice processing, payroll and other financial and general club administration.
