About the Role
Prospero Facilities Services Limited is seeking a Service Coordinator to join our busy Helpdesk Team. The Helpdesk is central to our operations, providing an important link between our clients and Engineering Teams and ensuring that maintenance requirements are coordinated and progressed efficiently.
The successful candidate will play a key role in delivering a high standard of customer service while supporting our Engineering Teams in the delivery of both reactive and planned maintenance services. The role requires someone who is organised, proactive and able to manage a variety of tasks in a busy working environment.
Key Responsibilities
The Service Coordinator will be responsible for managing incoming telephone calls and emails and liaising effectively with clients, engineers and other members of the team. The role will involve coordinating planned and reactive maintenance jobs, ensuring work is scheduled efficiently and progressed within the required timescales.
The successful candidate will be responsible for creating, updating, tracking and closing work orders using internal and external Computer-Aided Facilities Management (CAFM) systems. They will also prepare, analyse and distribute job reports and associated paperwork, ensuring information is accurate and kept up to date.
The role will also provide general operational and administrative support to the business, including progressing quotations, orders and other tasks as required. The Service Coordinator will be expected to maintain an awareness of Service Level Agreements (SLAs), Key Performance Indicators (KPIs) and appropriate risk management and compliance requirements.
Essential Skills and Experience
Applicants should have strong IT skills and be confident using Microsoft Word, Excel and Outlook, together with database management systems. Excellent attention to detail and strong data-handling skills are essential, as is the ability to communicate effectively by telephone, email and face-to-face.
The successful candidate should have a proactive approach to learning new systems and processes and be able to work effectively both independently and as part of a team.
Desirable Skills and Experience
Previous experience within facilities management, engineering, maintenance or a related industry would be advantageous. Previous Health and Safety training or awareness would also be desirable, although training will be provided where appropriate.
