Our client seeks a Junior Administrator - Compliance to join their team. Role Profile: To provide junior administrative and secretarial support to ensure the smooth running of the Company and the provision of a high standard of service to clients. Key Responsibilities: Assisting and supporting senior administrative staff and fee earners with the onboarding of clients, including photocopying, scanning and inputting client information onto the Company's practice management system, preparing letters of engagement, assisting fee earners in collecting and filing client ID/AML documentation. Carrying out client checks using the Smartsearch application and assisting fee earners with the completion of all necessary risk assessment forms. Keeping all filing and other records (both physical and electronic) up to date. Providing full Reception cover when the Receptionist is absent. Welcoming clients in a professional and friendly manner in person, by telephone and by email whilst maintaining client confidentiality at all times. Ensuring that full messages are taken from clients and an accurate record of the message is passed on to the relevant fee earner. Handling incoming and outgoing mail, emails and other material. Assisting with the archiving of newly closed files, recovery of existing archived files and preparing these for destruction/re-archiving as necessary after the retention period has passed (with Director approval). Fully utilising the practice management system and other associated applications. Working to deliver and uphold the Company's values. Undertake any relevant training courses. Key Skills and Experience: Essential: English and Maths GCSE Grade C or above (or equivalent). Excellent computer skills including a high degree of proficiency in Microsoft Word, Excel and Outlook. Confident communicator with strong written and verbal skills. Excellent attention to detail. Ability to accurately follow instructions. Previous Reception experience: Understands the need for client confidentiality. Excellent organisational and time management skills. Enthusiasm for working within a team environment. Ability to multitask and prioritise effectively. Desirable: Previous experience of working with practice management systems. Accurate and efficient typing skills. Previous experience of CDD and AML procedures. Previous experience working in an office environment. Previous Reception experience.
