Main Job Purpose:
To provide comprehensive administrative support to the procurement team, ensuring the efficient flow of goods and services. You will act as a key link between internal departments and external suppliers, maintaining accurate data and supporting the end-to-end supply chain process.


Key Responsibilities:
Purchase Order Management: Raising, processing, and tracking purchase orders (POs) through the internal system to ensure timely delivery.
Supplier Liaison: Acting as a primary point of contact for suppliers to confirm orders, resolve discrepancies, and manage lead times.
Logistics Coordination: Monitoring shipments and liaising with freight forwarders or couriers to ensure smooth movement of goods into the business.
Data Integrity: Maintaining accurate records on the ERP/purchasing system, including pricing, supplier contact details, and inventory levels.
Invoice Reconciliation: Working closely with the Finance department to resolve any queries between POs, delivery notes, and invoices.
Reporting: Assisting the Procurement Manager with regular reporting on supplier performance, spend analysis, and stock availability.
Compliance: Ensuring all purchasing activities adhere to company policy and UK regulatory standards.

Co-operate in all health and safety matters during the course of employment.


5 GCSEs, including Mathematics and English.
A basic understanding of buying cycles and the impact of logistics on the wider supply chain.
Familiarity with ERP or specialized procurement software (e.g., SAP, Oracle, Sage) is highly advantageous.
Exceptional attention to detail, particularly regarding numerical data and contract terms.
Proven experience in an administrative role, ideally within a supply chain, purchasing, or logistics environment.
Ability to prioritise a busy workload and meet deadlines in a fast-paced environment.
Strong verbal and written communication skills for effective professional correspondence with external partners.
